Adams County Birth Records

Adams County birth records are held by the local health department in West Union, Ohio. If you need a certified copy of a birth certificate for someone born in Adams County or anywhere else in Ohio, the health department can pull it from the statewide system. The office sits at 560 Rice Drive and is open on weekdays. Keep in mind that a major courthouse fire in 1910 destroyed most of the older probate court birth records for this county. That makes the health department and state office your best bet for any birth that took place after December 1908. For older records, a few restored sources still exist.

Historical Birth Records in Adams County

Adams County has a tough history when it comes to older records. The county courthouse burned down on February 25, 1910. That fire wiped out all of the official Probate Court birth records. This is a big loss for anyone doing family research in the area. Before the fire, the probate court held birth ledger entries from 1867 to 1908, as Ohio law required counties to record births starting in 1867.

Some records survived in other forms. The "Adams County, OH Probate Court Assessor Books" from 1879 to 1895 may have some birth data. There are also the "Restored Adams County, OH Board of Health Birth Records" from 1857 to 1909. These restored records were pieced together from other sources after the fire. They are not complete, but they fill in some of the gaps for researchers who need pre-1908 information. The Ohio History Connection does not hold indexed records for Adams County, so you must go to local sources or use the online databases mentioned below.

Under Ohio Revised Code Section 3705.23, a certified copy of a vital record is treated the same as the original in all courts and legal settings. This law sets the rules for how copies are made and what they must include to be valid.

Adams County Birth Certificate Fees

Each certified copy costs $25.00. That is the same whether you walk in, mail your request, or call. If you use VitalChek to order online, the base fee is still $25.00, but VitalChek adds a processing charge of around $7.00 to $12.00 on top. Shipping costs extra too if you pick a faster option like UPS 2-day or next-day air.

Under Ohio Revised Code Section 3705.24, the state sets a minimum fee for certified copies of vital records. The law says fees cannot be less than twelve dollars. On top of that base, a five-dollar surcharge goes to the state's general operations fund to support modernization of the vital records system. Local offices must send all collected fees to the Ohio Department of Health within thirty days after the end of each calendar quarter. So part of your $25.00 goes to keeping the statewide system running, and part stays with the local office.

The state office in Columbus charges $21.50 for a certified copy. You can order from them online at the Ohio Department of Health ordering page. They accept Visa, Mastercard, Discover, and American Express. Orders take about three weeks by mail.

Note: The hospital-issued birth certificate is not the same as a certified copy and cannot be used as legal ID.
